How to add your signature to Outlook for Windows

Outlook makes it easy to create a signature. Outlook 2016 and 2019 users can click File > Option > Email > Signatures. Outlook 2007 users can click Tools > Options > Mail Format > Signatures. It can be set up in Outlook for Mac or the Outlook web application. There are many options to add a signature to Outlook.

How to create a signature for Outlook 2016 and Outlook 2020

  1. Open Outlook App.
  2. Click File in the Outlook menubar.
  3. Click on Options.
  4. You can access Outlook Options by clicking Mail.
  5. Next, click Signatures Next, click Signatures and Stationery.
    Notice: Mobile signatures allow only text input and do not permit hyperlinks to be added.
  6. Choose “New” from the Email Signatures tab.
  7. Click OK to enter a name for your signature in the popup field.
  8. Type your signature in the Edit Signature box. You can also add your name, title, and company information as well as your email adress.

    You can use the Edit Signature Box to format your signature.

    • You can choose a font type, font sizes, text effects, and alignment.
    • To insert your company logo or social media buttons, click on the Image icon. This allows you to import a photo directly from your computer.
    • To insert a hyperlink, click on the Hyperlink icon (the one that looks like an umbrella with a chain).
    • To insert a business card that you have created in Outlook contacts, click on the Business Card icon.
    • To associate your signature with an email account, select the Email Account dropdown.
    • From the New Messages dropdown, you can choose which email signature to attach to new messages. Outlook automatically adds the signature to every message you create.
    • From the Replies/Forwards dropdown, you can select which signature to attach to replies and forwarded emails.
  9. Once you are done, click OK.

You can view your signature by opening a new email. You can also manually add your signature by clicking Insert > Signature.

How to create a signature for Outlook on the Web

  1. Register at office.com Register your Microsoft username.
  2. Next, open Outlook.
  3. Go to the upper-right corner of the screen and click the gear icon.
  4. Click on View All Outlook Settings. This button will be located in the lower-right corner.
  5. Select Reply and then Compose. This information can be found in the left-side column.

  6. In the Compose and Reply window, type your signature. To format your signature, use the standard editing tools found in the box.
  7. After you are done, click on Save.

To view your signature, click on New Message. Outlook will add your signature at the bottom of each message. To manually add your signature to Outlook, click on the ellipsis symbol above the message to compose it and then click Insert Signature.

How to add a signature to Outlook for Mac

  1. Open Outlook.
  2. Navigate to Preferences. You can access this menu by clicking File > Preferences or pressing the Command + Comma keys.
  3. Register now
  4. Click the + sign beside the Edit Signature window.
  5. Modify the Signature name. The default name of the signature is Untitled. To rename the signature, click on the Untitled Signature name.
  6. In the Signature Box, enter your signature details.
  7. Under the Choose default signature section, you can modify your signature settings. You can associate your signature to an email account, to have it appear on any new messages, emails you reply to, or forwarded by others.
  8. Click the X button.
  9. Compose a new email.
  10. Your new signature should be placed at the bottom or end of every message. If your signature does not appear, you can manually add it. Enter the signature by clicking on Signatures under the New email window’s message tab.
